Applied – TAM

What is included in the conversion from TAM to Newton by Agency Systems?   If it is not listed it is not converted!

NOTE: Images must be decrypted and uncompressed prior to our pulling your data.  If your data is hosted you will need to discuss with your vendor how to do this before the data is made available to you.  See section on Images below as to how to go about this.

  • Clients
    • Name, DBA, Address, City State Zip, Phone Numbers, Producer, CSR
    • Options
      • Exclude prospects
      • Exclude inactive
      • NOTE; inactive customers are calculated based on not having a policy expiring within the last month.
  • Client Contacts
    • Contact Name, Email, Phone (Office, Home, Cell as available)
  • Polices
    • Basic policy information is common to all policies including effective/expiration dates, policy number, producer, class, transaction
      • NOTE: Duplicate policy numbers are not allowed in Newton.  Common quote numbers like TBA, Pending, TBD, etc. are changed to add a unique number to the existing number.
    • Premium is populated in the Estimated Annualized Premium field in Newton.
      • NOTE: This premium does not hit the general ledger
    • Data will be converted going back 5 years
  • Client Notes
    • Converted to the Newton Customer notes on basic tab. (Not Basic Tab Activity)
  • Suspense/Transaction Log

    • Convert into Newton Suspense items by customer and maintain the open/closed status.
    • All items convert into the Diary Tab in Newton so the user only need look 1 place for their converted transaction items.
  • Images/Attachments
    • Documents attached to clients and policies, including letters and email attachments, are converted to the Newton Attachments.
    • Email stored in TAM must be decrypted to be readable in Newton Attachments.  This is an additional decryption process that must be performed by Applied Systems for which an additional charge will likely apply.  We recommend you do the trial conversion without this decryption and then determine if you must have it for the final conversion.
    • Documents not attached to clients are not converted.
    • Attachment descriptions are very basic due to TAM using an unknown algorithm to associate the attachment file with the Transaction description.
      • NOTE: Attachments/Images must be decrypted and uncompressed prior to pulling the data 
      • To decode/decrypt/decompress Images go to your Windows Task Bar Start Button>All Programs>Applied Systems >Utility Manager>System Admin>find the file decompression option – run it without anyone in TAM.  This process could lock the system for an entire day on large data sets.
      • Next follow this link and follow the instructions so you don’t need to do this again.
  • Claims
    • Basic claims information including notes and payment items are converted into Newton Claims.
  • Holders
    • We convert the global list of holders.
      • NOTE: We found holders connected to policy numbers including the description fields.  Policy number must match a converted policy in order to attach. NO TBA, TBD, Pending policy numbers allowed.  We also pickup the description(s) listed in the TAM data relative to the Holder which appears to be the wording on the bottom of a certificate.
  • Drivers
    • We convert schedules of drivers to the Basic Tab in Newton with details like Name, License No. DOB. etc.
    • Data comes from Personal and Commercial vehicle tables
    • Active or Inactive status is determined by the policy expiration date to which the driver is associated.
    • This data can be used to fill applications.
  • Vehicles
    • We convert schedules of vehicles to the Basic Tab in Newton with details like year, make, model etc.
    • Data comes from Personal and BA vehicles.
    • Active or Inactive status is determined by the policy expiration date to which the vehicle is associated.
    • This data can be used to fill applications.
  • Download Risk
    • We reconstruct the archived download files,  from companies with which you currently download.  This risk information can be viewed under the DL Risk tab in Newton. In addition this information creates schedules, (drivers, vehicles, properties, coverage views) and can be used to create applications.
    • We go back 3 years for this data if available. Often the data is only available for 1 year, the active policies.
      • NOTE; Some systems on which “Night Utilities” are run automatically purge download data.  If that is the case we can only convert what has not been purged.

Basic Setup Items

  • Companies
    • Name, Address, Phone Numbers
    • All companies set to direct bill by default; Can set all companies to agency bill.
    • Company Comments will appear as a Company Note in Newton
  • Vendors
    • Name, Address, Phone Numbers
    • Vendor Comments will appear as a Vendor Note in Newton
  • Producer/Users
    • NOTE: Cross reference is not used for Producer/Users
    • Options
      • Missing producers are defaulted to code “HOU” (House)  You may specify a different default code.
  • Class Codes/Line of Business
  • Transaction Codes
